The Opportunity
Arc Infrastructure is introducing a newly created Executive Assistant role designed for a highly capable, confident, proactive, and discreet professional who thrives in a fast‑paced environment. This is a pivotal position reporting to our CEO and supporting six Executives, ensuring seamless coordination across the executive leadership team and enabling high‑quality decision making, communication, and organisational alignment.
The Role
The Executive Assistant provides high‑level administrative, operational, and strategic support to the CEO and Executive Team. As a trusted partner, you will manage priorities, safeguard executive time, and uphold the highest standards of professionalism and confidentiality. Occasional travel with the CEO & Executive may be required.
Key Responsibilities
Support to CEO and Executives:
- Manage calendars, appointments, travel, logistics and daily workflow.
- Coordination of external advocacy arrangements including manage engagement with external partners, clients, and government bodies.
- Prioritise and triage incoming requests, correspondence, and information.
- Prepare briefing notes, presentations, reports, and meeting materials.
- Coordinate the preparation, quality assurance, formatting and submission of executive reports and papers that will be required to be provided to various committee, Board and external reporting.
- Consolidate reports, data, and updates for executive meetings.
- Financial administration, including onboarding new suppliers, purchase orders and expense management.
- Collate, summarise and analyse information and data as required to support business reporting and operational needs.
- Assist with scheduling, meeting preparation, and cross‑departmental communication.
What you will bring to the role

- Strong written and verbal communication abilities.
- High level of discretion, judgement, and emotional intelligence.
- Ability to manage competing priorities in a fast‑paced environment.
- Proactive problem solver with strong attention to detail.
- Advanced proficiency in Microsoft 365 and modern workplace tools.
- Confident working independently and collaboratively with senior leaders.
Qualifications & Experience
- Minimum 5+ years’ experience in an Executive Assistant role
- Experience supporting multiple executives simultaneously.
- Background in corporate, government, or complex organisational environments (preferred).
- Relevant qualifications in business administration or similar (desirable).
